Privacy policy

chater360 is a business-messaging platform: companies connect their own WhatsApp, Instagram and Messenger accounts and manage customer conversations — including AI-assisted replies — from one console. This policy explains what data we handle, in what role, and the choices available to you.

1. Who we are

chater360 (the “Platform”, “we”, “us”) is operated by GGEA Trading FZE, Sharjah Publishing City Free Zone, Sharjah, United Arab Emirates. You can reach us at hello@chater.ai for anything in this policy.

2. Two roles: provider and processor

It matters whose data we are handling and why:

  • For our business customers (“Businesses”) — the companies that sign up for chater360 — we act as a data controller for the account, billing and contact information they give us directly.
  • For the customers of those Businesses (“End Customers”) — the people who message a Business on WhatsApp, Instagram or Messenger — we act as a data processor (service provider). The Business decides why and how that data is used; we process it on the Business’s behalf and under its instructions.

If you messaged a company that uses chater360, that company is responsible for your data. Contact them first with any privacy request — and we will fully support them (and you) in carrying it out. You can also reach us directly at hello@chater.ai.

3. Data we process on behalf of Businesses

When a Business connects its messaging channels, we process the data needed to run its conversations:

  • Message content — text, voice notes, images, videos and documents exchanged between the Business and its End Customers, in both directions.
  • Contact and profile data — names, phone numbers, messaging handles, language and other profile details provided by the End Customer or made available through the messaging platform.
  • Commerce data — where the Business connects a store system (for example Shopify): orders, products viewed or discussed, order value and delivery details relevant to the conversation.
  • Conversation metadata — timestamps, channel, delivery/read status, tags and internal notes the Business’s team adds.

4. Data we collect directly

  • Account data — when a Business creates an account: name, work email, business name, team member details and settings.
  • Access requests — if you submit the form on this website, we receive the details you enter (name, business name, work email, channels, message). We use them only to respond to your request.
  • Billing data — subscription and invoicing details. Card payments are handled by a payment processor; we do not store full card numbers.
  • Support and correspondence — emails and messages you send us.

This website does not use third-party analytics, advertising trackers or marketing cookies.

5. How we use data

  • To provide the service — routing messages, displaying conversations in the console, maintaining customer profiles, and generating AI-assisted replies at the Business’s direction.
  • AI processing — message content may be processed by carefully selected AI infrastructure providers solely to generate replies, transcribe voice notes or analyse images for the Business. We contract with providers on terms that prohibit them from using this content to train their general-purpose models.
  • To operate and secure the Platform — troubleshooting, preventing abuse and fraud, and keeping systems reliable.
  • To communicate — service messages, onboarding, support and (for our own Business customers) relevant product updates.

We do not sell personal data. We do not use End Customer conversations for advertising.

6. Meta platform data

chater360 connects to the WhatsApp Business Platform, Instagram messaging and Messenger through Meta’s official APIs. Data received through those APIs is used only to provide and improve the service to the Business that owns the connected accounts, in accordance with Meta’s Platform Terms and Developer Policies. We do not use Meta platform data for independent purposes, and Businesses can disconnect their channels at any time, which stops all further collection through them.

7. Sharing and sub-processors

We share data only with service providers who help us run the Platform, each bound by contractual confidentiality and data-protection obligations:

  • Cloud hosting and database infrastructure providers;
  • AI model and speech-transcription providers (for generating replies and transcribing voice notes);
  • Payment processors (for subscription billing);
  • Email providers (for service and support correspondence).

We may also disclose data where required by law, or to protect the rights, safety and security of chater360, our customers or others. A current list of sub-processors is available on request at hello@chater.ai.

8. Retention

  • Conversation data is retained for as long as the Business’s account is active, or as the Business instructs.
  • Account data is retained for the life of the account and deleted or anonymised within 30 days of a verified deletion request or account closure, except where the law requires longer retention (for example invoicing records).
  • Access-request form data is kept only as long as needed to handle the request.

9. Security

We protect data with encryption in transit, access controls, authenticated webhooks, environment isolation and the principle of least privilege for staff access. No system is perfectly secure, but we treat conversation data as sensitive by default and design accordingly. If we become aware of a breach affecting personal data, we will notify affected Businesses without undue delay.

10. International transfers

We are based in the United Arab Emirates and use cloud infrastructure that may store or process data in other countries. Wherever data is processed, it remains protected by this policy and by our agreements with sub-processors.

11. Your rights

Depending on where you live, you may have rights to access, correct, export, restrict or delete your personal data, and to object to certain processing.

  • Businesses can exercise these rights by emailing hello@chater.ai from their registered account email.
  • End Customers should contact the Business they messaged, since it controls the data; we will assist that Business in honouring the request. You may also contact us directly and we will route your request appropriately.

12. Children

chater360 is a business tool and is not directed at children. We do not knowingly collect personal data from anyone under 16 for our own purposes.

13. Changes to this policy

We may update this policy as the Platform evolves. We will post the updated version on this page with a new “last updated” date, and notify Business customers of material changes.
